Calendar Events in Workload
Workload helps you distribute tasks more efficiently, since it displays weekly and daily hourly capacities of everyone on your team. It shows how many hours someone’s got available [or not] every single day of the week, as well as when someone’s out sick or away for vacation.
Now, you can also see Calendar events in Workload. What does this mean?
When you create an event in Calendar, like a one-hour team call, you’ll be able to add that event to participants’ workload.
The logic is simple: if someone spends a whole day in meetings as part of their job, it’s necessary to subtract the number of hours spent in meetings from their daily capacity.
For example, if Person A has two meetings, each 1.5 hours long, those meetings will appear in their Workload, while 3 hours will be taken into account to calculate their capacity for the day.
Total daily capacity: 8 hours
Total in meetings: 3 hours
Total in tasks: 2 hours
Total left available: 3
On the other hand, all-day or multi-day events won’t affect daily capacity, although they will appear in Workload, marked with a small calendar icon on the day of the event.
eInvoicing
eInvoicing is becoming the norm around the globe, since it simplifies cross-border exchange, ensures tax compliance, and increases transparency. In the European Union, the EN 16931 standard defines the technical specifications for the format and content of electronic invoices. In practice, this means that your electronic invoices must be issued in an XML format that accounting software can process.
Given the complex regulatory measures in place, we’ve introduced eInvoicing as an experiment. You’ll be able to download these invoices and have them confirmed with your Finance department before you send them out to your clients. Note: invoices issued in this format won’t be sent to your clients automatically by ActiveCollab.
You need to enable eInvocing via System Settings. You’ll need to enter your company address and VAT ID, which are required to create valid electronic invoices. Once done, you’ll be able to download eInvoice via the three dot menu next to an invoice.
Progress Progress Menu
The Project Progress Menu, represented as a small circle next to a project’s name, is a useful feature enabling you to keep an eye on the most important aspects of your projects at all times.
The circle itself is an indicator of the progress, just like the one you’ll find on your Assignments Dashboard:
The outermost ring shows the number of completed tasks.
The inner ring shows the number of tracked hours.
The innermost pie indicates the project budget utilization, turning red if approaching the limit.
The real magic happens when you click on the menu.
It’s like a mini dashboard that shows vital project information:
Tasks: see the number of total, open, and completed tasks, with the option to access the full report,
Estimated Time: shows the number of estimated and tracked hours spent on the project,
Tracked Time: shows the total number of tracked hours spent on the project, divided between billable and non-billable hours, so you can see where most of your time is going,
Expenses: you can track total project expenses, broken down into billable and non-billable,
Target Budget: see how the set budget compares to the budget spent, and manage budget alerts,
Profitability: compare your income against project cost and profit.
