How to Make a Comment in ActiveCollab

  • Step 1: Open the project,
  • Step 2: Then go to a Task, Discussion, or Note where you want to comment.
  • Step 3: Click inside the comment box.
  • Step 3.1 (Optional): You can format your text with bold, lists, or other styles.
  • Step 3.2 (Optional): You can attach files by dragging and dropping them into the comment box, or click the Attach.
  • Step 4: When you are done, click Add Comment. All subscribers will be notified of your message.

How to Mention Someone in ActiveCollab

To directly notify a team member, team, or project followers:

  • Step 1: Within the comment box, type `@`.
  • Step 2: Begin typing a person’s name, team name, or a keyword like `@project`, `@everyone`, `@assignee`, etc.

Explanation of various mentions:
  • Type @name to mention a certain person. If they're currently unavailable, the Availability record will appear next to their name. Hover to see if they're on vacation, taking a sick leave or a day off.
  • Type @team-name to mention an entire team at once. The parenthesis will show how many team members are invited to the project, and the hover will list them.
  • Type @task/discussion/note or @here to mention all those already subscribed
  • Type @project or @everyone to mention all those already invited to the project.
  • Type @leader to mention the project's leader.
  • Type @assignee to mention the task's assignee.

  • Step 3: Select the desired option from the dropdown list.
  • Step 4:Complete your message and click Add Comment.
  • Step 5: The mention sends an email and in-app notification to those mentioned.

How to React to a Comment in ActiveCollab

To give quick feedback using emojis:

  • Step 1: Hover your cursor below an existing comment.
  • Step 2: Click to choose one or multiple of the six reaction emojis.
  • Step 3: Hover over an emoji to see which users reacted.
  • Step 4: Reaction notifications are sent to the comment author and others who reacted.

How to Delete a Comment in ActiveCollab

To remove your own comment (or another’s, with permissions):

  • Step 1: Locate the comment you'd like to delete.
  • Step 2: Hover near the top-right corner of the comment to reveal the **“⋯”** (options) menu.
  • Step 3: Click Delete and confirm.

Please note: Regular users can delete their own comments in a set interval. Managers/Admins can delete any comments at any time.

How to Limit a Time Frame for Editing Comments?


  • Step 1: Click on your Profile Icon in the upper right corner.
  • Step 2: Click on System Settings.
  • Step 3: Click on Project
  • Step 4: Under “Limit Comment Editing Period” you can set the periods for 30 minutes, 8 hours, 24 hours, 7 days or Never. This limit does not apply to owners and project leaders.

How to Append a Comment to a Task in ActiveCollab

To add additional notes to an existing task:

  • Step 1: Open the Task where you have the desired comment.
  • Step 2: Click on the “...” in the task.
  • Step 3: Select the “Append to task” option
  • Step 4: Select if you wish to append text, attachment, or both.
  • Step 5: Click Append.

How to Create a Task from a Comment in ActiveCollab

  • Step 1: Open the Task where you have the desired comment.
  • Step 2: Click on the “...” in the task.
  • Step 3: Click on “Create Task.”
  • Step 4: Select the desired Project and the task name.
  • Step 5: Click on “Create Task” and confirm.
