Virtual users

You can set up an account for them. Choose their role, add basic details, set their permissions, and invite them to projects. You can also set their rates and capacity. Virtual users function just like any other account, but they don’t receive email notifications, and we do not charge you for them. This makes Virtual users perfect for onboarding new colleagues, and planning future capacity.

 • Set Up: Create an account for each Virtual User, choose their role, add details, and define permissions just as you would for regular users.

Assign Projects & Tasks: Add Virtual Users to projects, assign tasks, and subscribe them to notes and discussions, ensuring everything is set before they officially join.

Manage Capacity: Define their rates and capacity, allowing for precise planning and resource management.

How to add a virtual user to your? 


Let's say you have a colleague joining in two weeks. You can assign tasks to Virtual Users, subscribe them to notes and discussions, and basically, prepare everything for their arrival. Virtual users are easy to spot thanks to their gray avatars and can be managed from the Invites page.

How to add a virtual user to a task, discussion, or note?


This allows you to have everything prepared in ActiveCollab, by the time they are ready to join. Just send them an invitation so they can hit the ground running.

How to invite a regular user in place of a virtual user?


Note: A Virtual User will only be charged to your account once a regular, billable user (Owner, Member, Member+, Client+) accepts the invitation and logs into the account. Virtual Users are available as part of the Pro plan.
