Billable/Non-Billable Status of Time and Expenses

When creating or editing a Project, you can set the time and expense records to be by default:

  • Billable,
  • Non-billable.

How to set the Projects time and expense status to Billable?

  • Step 1: Click on the desired Project.
  • Step 2: Click on the “...” menu.
  • Step 3: Click on the Edit option from the drop-down menu.
  • Step 4: Find the Time and Expense Records and set them to Billable.
  • Step 5: Click on “Update Project”

Note: This option is available for Fixed price and Time and Expense budgeting types.

How to set the Project time and expense status to Non-Billable?

  • Step 1: Click on the desired Project.
  • Step 2: Click on the “...” menu.
  • Step 3: Click on the Edit option from the drop-down menu.
  • Step 4: Find the Time and Expense Records and set them to Non-Billable.
  • Step 5: Click on “Update Project”

Note: The Non-Billable budgeting type has no budget and all of its time and expense records will be marked as non-billable, which can't be changed. Ideal for internal projects.

How to set the Time and Expense status to Billable for the entire account?

  • Step 1: Click on your Profile Icon in the upper right corner.
  • Step 2: Click on System Settings.
  • Step 3: Click on Time and Expense Settings
  • Step 4: Under “Billable status of time and expense records” select “Billable”
  • Step 5: The change is saved automatically.

Note: This option is available for Fixed price and Time and Expense budgeting types. When you set all the time and expense records to be billable by default on a project, only team members allowed to make changes can do so. All tasks, time and expense records, can be changed to non-billable by unchecking the box.

Depending on the settings the following users can change the time and expense billable status:

  • Project Leaders,
  • Owners,
  • All users (except for Client roles).

  • Step 3: Click on the Edit option from the drop-down menu.
  • Step 4: Under “Change Billable Status” select Owner (and Project Leaders) or All users.
  • Step 5: Click on “Update Project”

How to select who can change the Billable status for all Projects?

  • Step 1: Click on your Profile Icon in the upper right corner.
  • Step 2: Click on System Settings.
  • Step 3: Click on Time and Expense Settings
  • Step 4: Under Change Billable Status select Owners and Project Leaders or All users.
  • Step 5: The change is saved automatically.
